BmyGuest Visitor Management

Visitor registration made easy and smart!

BmyGuest Visitor Registration is a GDPR-compliant, cloud-based solution for registration and managment of visitors and employees. BmyGuest Visitor Registration is easy to set up, hardware-free and requires a minimum of maintenance.

Basic principle:
1. Scan QR-code at the reception
2. Enter your contact information
3. Select host from drop down list

BmyGuest Visitor Registration includes the following features and options:

Microsoft Login

As a host you can access the BmyGuest solution via your normal Microsoft-login

Automatic Host notification

When visitors are checked in, hosts are automatically notified of their arrival in real time by sms, e-mail and/or Microsoft Teams

 

 

Parking

Integration to parking providers enables your guests to register their parking as a part of their check-in. Your guests will experience a hassle-free and fine-free parking while visiting you. 

In the reminder e-mail send 24 hour prior to meeting start you can include a QR code that gives your visitor access to the parking lot if it is an enclosed area. 

You will gain an overview of your parking costs for visitors.

Visitor badge with photo

A visitor badge can automatically be printed when the check-in is completed. The visitor badge layout is fully customizable and can include information such as company logo/name, host name as well as visitor information and photo. 

Acceptance of Visitor Terms

Complet the check-in process with documents, videos, and policies, e.g. a NDA or safety information, that visitors needs to accept and sign before they can enter your company.

Are visitors pre-registrated these documents can be included in the 24 hour info mail, to save time when checking in.

Hosts have an overview and log of all visitors and documents they have accepted, with a timestamp and a copy of the document.

Visitors also have access to the documents they have accepted, including a timestamp and a copy of the document.

Microsoft Azure AD

BmyGuest integrates to Microsoft Entra ID (Microsoft Azure Active Directory). This means that the employee/host list is continuolsy updated, hereby minimizing the hassle of adding or deleting employees when changes occure. 

Microsoft Teams Integration

The BmyGuest solution can be accessed directly from Microsoft Teams and hosts can receive a notification in Microsoft Teams when a guest has arrived

Pre-registration of guests - 24 hour info mail

Preregister your visitors directly in your Outlook or Google meeting invitation. Send automated e-mails 24 hours prior to meeting start with visitor and parking information, documents needed to be signed, contact details etc. to make the visitor check-in experience even smoother.

BmyGuest Lend & Lease Management

 

BmyGuest Lend & Lease is a GDPR-compliant, cloud-based solution to manage equipment lent out by organizations/companies to guests or employees, e.g. IT equipment, phone chargers, access cards, bicycles etc. - a function typically handled by the reception/front desk

Our experience is that companies using the Lend & Lease solution reduce the amount of equipment never returned by over 90%. The hassle and time spend in trying to get the equipment back is minimized and the reminder is an automatic process.  

Basic Principle:

1) The BmyGuest Lend & Lease solution is accessed via your preferred web browser. 
2) The equipment that can be lent out will appear in a list, with its availability status next to it.
3) A loan is registered by clicking on the relevant equipment, entering the borrowers name, mobile number and/or email as well as the agreed return date/time of the equipment.
4) When the due date/time is up, the borrower will automatically receive a text message and/or email - until the equipment is returned.

The system integrates to Microsoft Entra ID (Microsoft Azure Active Directory) ensuring an always updated employees list.

BmyGuest Package Management

 

The BmyGuest Package Management is a GDPR-compliant, cloud-based solution for effectively managing incoming packages to your company/organization. This process is often handled manually resulting in packages not being picked up or left for a long time while taking up space at the reception or the incoming goods area

Basic Principle:

1) The package is received, e.g. at reception or incoming goods
2) BmyGuest Package Management solution is accessed via a your preferred browser (PC, tablet, mobile)
3) The package is registered by selecting recipient from a drop-down list. Information about the package can bee added, e.g. a short description, a photo or pick-up location (optional)
4) The recipient is automatically notified by an SMS/text message and/or email that their package has arrived and can be picked up
5) The recipient marks the package as picked up (via the notification message), otherwise he/she will continue to receive reminders

The system integrates to Microsoft Entra ID (previous Microsoft Azure Active Directory) ensuring an always updated employees list.
